Why Zoho BooksZoho Books is a cloud accounting and financial governance platform. It brings the general ledger, GST compliance, multi-currency banking, approval control, landed cost and branch reporting into one database. Every invoice carries an IRN and QR code, bank feeds match by rule, and vendor payments go out from the bill screen.
Zoho Books holds the whole money cycle in one governed system. It replaces desktop accounting files, branch data silos, Excel GST reconciliation and month-end bank matching, which together hide cash flow and add tax risk. Leaders get real-time books, predictable compliance and clean cash flow.
High-volume GST invoicing, customer credit limits, tiered price lists and e-Way bills.
01Raw material purchase orders, landed cost on freight and customs, bill approvals and finished goods valuation.
02Foreign-currency invoices, LUT export compliance, milestone billing and FIRC tracking.
03Branch-level profit centers, intra-company GST transfers, daily cash reconciliation and head-office P&L.
04Retainer billing, recurring invoices, automated reminders and a branded client portal.
05Zoho Books is the central ledger of the Zoho ecosystem. It receives deals from Zoho CRM, stock movements from Zoho Inventory, expense claims from Zoho Expense and payroll journals from Zoho Payroll.

Creates a draft sales order or invoice when a deal is Closed Won, with customer, items and tax terms mapped.
Sends stock shipments to Books, which generates sales invoices and updates inventory value.
Syncs approved employee expense claims into accounts payable.
Posts monthly payroll journals and payout batches.

Symptoms of spreadsheetsMost growing businesses do not have an accounting talent problem. They have a visibility and control problem, and it shows up as the same eight symptoms.
Supplier invoices must be verified against GSTR-2B under IMS. Manual matching in Excel leads to disallowed credit, late returns and 18% interest notices.
Billing clerks key data into government portals one invoice at a time. Dispatches are delayed and IRNs mismatch.
Teams download statements at month-end and match hundreds of lines by hand while leadership works from stale balances.
Anyone can change or delete invoices and bills after the fact, with no manager sign-off.
Separate GSTINs, intra-company transfer invoices and clearing ledgers are managed by hand across states.
Credit control depends on phone calls and static PDFs, which pushes DSO past 75 days.
Withholding is calculated in side spreadsheets, and Form 26Q is built by hand each quarter.
Reporting is delayed by 15–20 days while teams reconcile, journal depreciation and consolidate branches.
+
The operational transformationZoho Books replaces disconnected accounting with a closed-loop system that enforces approval discipline, protects tax compliance and shows cash in real time.

Tailored vertical solutionsSee how Zoho Books is used day to day in 15 industries, from GST invoicing and e-Way bills to landed cost, TDS and bank reconciliation.
A wholesale distribution business runs on high-volume invoicing, tight credit control and constant stock movement between depots. Zoho Books connects billing, receivables and purchases in one ledger, helping distributors raise GST invoices with IRN and e-Way bills, enforce customer credit limits, apply tiered price lists, send automated payment reminders and check supplier bills against GSTR-2B before claiming input credit.
A manufacturing business involves raw material purchasing, production, freight and customs costs, finished goods valuation and dispatch. Zoho Books helps manufacturers raise purchase orders with approval limits, spread freight and customs charges across items through landed cost, issue job work delivery challans, and see accurate item cost and margin in real time.
A pharma or healthcare business deals with exempt and taxable supplies, doctor and consultant payouts, expensive equipment and insurance receivables. Zoho Books helps separate exempt and taxable sales for correct GST returns, deduct TDS under 194J on professional fees, post monthly depreciation on equipment, and track insurer receivables with aging reports.
An FMCG business ships large volumes through distributors on schemes and special price lists. Zoho Books helps FMCG companies generate B2B invoices with IRN in seconds, maintain distributor price lists, account for schemes and discounts through credit notes, prepare GSTR-1 with bulk data, and automate collection reminders with payment links.
An import-export business manages foreign currency, customs duty, freight and compliance paperwork. Zoho Books supports multi-currency purchase orders and invoices at live rates, allocates freight, customs and CHA charges through landed cost, posts realized and unrealized forex gain or loss, and prepares export invoices with LUT reference.
A retail or D2C brand sells through stores, its own website and several marketplaces, each with its own settlements and fees. Zoho Books brings those sales into one ledger, reconciles marketplace payouts and TCS, books payment gateway fees correctly, and reconciles daily store cash against bank deposits.
An auto parts or industrial equipment dealer handles many low-value counter sales, long spare parts price lists and warranty claims. Zoho Books helps issue fast counter invoices, keep separate price lists for retail and workshop customers, track purchases from several suppliers, and raise warranty credit notes that adjust stock and receivables.
A food processing or agri-business buys seasonal produce, converts between quintals, kilos and packs, and sells packaged goods under GST. Zoho Books helps record seasonal commodity purchases with mandi cess, convert between units of measure, issue GST-compliant invoices for packaged goods, and keep stock valuation accurate through the season.
A chemicals, paints or hazmat business sells in litres, drums and kilos, ships regulated goods and must cost every batch correctly. Zoho Books helps convert units such as litres to kilos, track batch-level cost, issue transport challans and generate e-Way bills for dispatch, so compliance and costing stay accurate.
An IT products or electronics business sells high-value items with serial numbers, warranties and sometimes export orders. Zoho Books helps raise high-value B2B invoices with IRN and QR code, track serial numbers, account for warranty obligations, and bill export customers in foreign currency.
A construction or EPC business bills by project milestones, pays many contractors and holds retention money until completion. Zoho Books helps raise project-wise milestone invoices, deduct TDS under 194C on contractor bills, record site expenses against each project, and account for retention money separately.
A textile and apparel business sells by style and season to wholesalers and branches across states. Zoho Books helps analyze margin style by style, maintain wholesale price lists, bill across branches with the correct GSTIN, and issue season-end credit notes for returns and discounts.
A healthcare equipment business sells devices, services them under annual contracts and often imports parts. Zoho Books helps issue unit sales invoices with the correct HSN code, schedule recurring AMC invoices, allocate import freight and duty through landed cost, and track contract revenue.
A logistics, 3PL or goods transport business works under reverse charge, issues consignment notes and bills freight in several currencies. Zoho Books helps handle reverse charge GST for GTA services, track consignment notes, bill freight forwarding in foreign currency, and keep transporter GST compliance in one place.
A professional services or consulting firm bills by retainer, time and project, and pays partners and vendors with TDS. Zoho Books helps send recurring retainer invoices, bill partner time, tag expenses to client projects, deduct TDS on payments, and report profitability for each client.
Your books should not run on static spreadsheets. See how Zoho Books can be configured around your GSTINs, bank accounts and approval limits.

Knowledge baseShowing the top 5 questions. Type in the search box to find any of the other answers.
Yes. Zoho Books connects to the government GST IMS through its authorized GSP connection. Every inward supplier invoice is checked against your GSTR-2B. Matched invoices are accepted automatically, and mismatches are flagged with reason codes before you book the bill, which reduces the risk of ITC disallowance.
Yes. Zoho Books integrates directly with the Invoice Registration Portal (IRP) and the e-Way bill portal. IRN and QR codes are generated in under 2 seconds. E-Way bills are triggered on eligible dispatches, including Part B vehicle updates and multi-transshipment workflows.
Yes. Each state branch has its own GSTIN with separate accounting, separate GSTR returns and compliant inter-state e-Way bills. Consolidated P&L and balance sheets for all branches are available from one dashboard.
Migration is a defined activity in every package. We follow four steps:
Yes. Growth and Enterprise packages include direct bank API integration with ICICI, Kotak, Axis and HSBC. Bank transactions import automatically. From the Bills list you select due bills and authorize the batch, and Zoho Books sends NEFT or RTGS instructions to the bank. Confirmation marks the bills paid and matches the bank transaction.
We configure TDS rates by vendor category. When you record a vendor bill and select the TDS section, Zoho Books calculates the deduction and credits the TDS Payable ledger. For Section 194Q and 206C(1H), it tracks cumulative turnover above ₹50 lakh, applies 0.1% only on the excess and compiles Form 26Q each quarter.
Zoho Books supports creator-approver control. Billing staff can create draft invoices and bills but cannot confirm or post them. Approval rules route transactions above set limits (for example bills above ₹1 lakh) to a manager or the CFO before they reach the ledger.
Freight, customs duty, clearing charges and insurance must be added to inventory value. You link vendor expense bills to purchase orders or goods receipts, and Zoho Books spreads the cost across items by value or quantity to give an accurate moving average valuation.
Zoho Books is the central ledger. Deals won in CRM create sales orders. Shipments in Zoho Inventory generate sales invoices. Approved expense claims sync to payables, and payroll runs post journals and payout batches.
Timelines depend on the package. Basic takes 7 to 10 working days, Growth 15 to 20 working days and Enterprise 20 to 30 working days. Timelines are counted from the end of the discovery audit and receipt of your master data, such as the chart of accounts, customer and vendor lists and opening balances.
We run role-based training for billing clerks, senior accountants and CFOs, with recorded video SOPs. After go-live, a senior financial solution architect stays on call for 30 to 45 days, through two month-end closings and your first GST return runs.
